What types of workflows can Intelligent Automation handle?
Any document-driven workflow where data needs to be extracted, validated against existing records, and acted upon. Current pre-built agents cover accounts payable, claims management, student services, and order management. How does the automation connect to our existing ERP or CRM?
Through our Model Context Protocol (MCP) integration layer. MCP is a standardised, type-safe protocol that enables the AI agent to call your ERP, CRM, or any business system directly — looking up records, creating entries, and triggering actions in real time without custom middleware. Pre-built connectors are available for common platforms; custom connectors can be built for any system.
What is multi-gate matching and why does it matter?
Multi-gate matching means the system validates a document against multiple independent records before approving it. In AP automation, for example, an invoice must match both the original purchase order and the delivery note — if either fails, the invoice is blocked. This prevents paying for goods that weren't ordered or haven't been received, and it's configurable to your specific compliance rules.
What happens when the AI cannot match a document?
Unmatched or low-confidence documents are automatically routed to a human review queue with full context — the extracted fields, the confidence scores, and the reason for the block. Your team reviews only genuine exceptions. High-confidence, fully matched documents proceed autonomously without any human involvement.
How does document ingestion work — do we need to manually upload files?
No. The automation agent monitors your configured data sources continuously — email inboxes (IMAP/Gmail/Outlook), watched folders, EDI feeds, and REST API endpoints. Documents are detected and processed automatically the moment they arrive. Manual upload via API or web UI is also available as a fallback.
Can we see what the automation is doing in real time?
Yes. Every workflow stage — ingestion, extraction, matching, routing — streams live status updates to your front-end via WebSocket. You see exactly what the system is processing, what stage it's at, and what the outcome is, in real time. This gives your operations team full visibility without needing to poll logs or run reports.
Is there a full audit trail for compliance purposes?
Yes. Every action — ingestion, extraction, matching decision, approval, exception flag, and human review — is logged with a timestamp, user identity (if applicable), and outcome. Audit trails are immutable and exportable, satisfying requirements for SOX, GDPR, ISO compliance, and internal audits.
How quickly can an automation agent be deployed?
Pre-built agents (AP, Claims, Student, Order) can typically go live within 4–6 weeks of contract signing, including connector configuration, AI calibration on your document types, and UAT. Custom agents for new workflow types typically require 8–12 weeks depending on complexity. Our professional services team manages the full implementation.
